AI agents · run by WITS

End the meeting. AI agents handle the rest.

Meeting OS puts AI agents to work on every Zoom, Google Meet or Teams meeting: they transcribe who said what, capture what was shown on screen, write the minutes with decisions and owners, follow up on every decision until it’s done and generate what was asked for in the meeting: the quote as a PDF, the document, the follow-up email. All connected to your email, your calendar and your systems. We set up and run the agents.

The problem

Everyone was in the meeting. No one remembers it the same way.

01

Nobody takes notes

Or the person taking them is the one who should be leading the conversation. You end up with a three-line recap, or nothing at all.

02

Decisions float away

Everyone agreed who would do what, but nobody wrote it down with a name and a date. Next week, the same conversation.

“Wait, who was sending the quote?”

03

The recording exists. Nobody watches it.

No one is going to scrub through 50 minutes of video to find the number someone put on screen. Whatever was shared is gone.

How it works

Record the meeting as usual. Each agent does its part.

No new video tool, no extra guest on the call. Meeting OS works from the recording you already make.

  1. 1

    connector_bot brings in the recording

It connects to your Zoom, Google Meet or Teams cloud recordings, or you upload the file (.mp4, .webm or audio).

  2. 2

    transcriber_bot transcribes it

On our infrastructure, timestamped and split by speaker. Every voice is labeled with the person’s name.

  3. 3

minutes_bot and screenshot_bot write the minutes

A screenshot every time the shared screen changes, plus minutes with a summary, decisions, owners, due dates, open items and risks.

  4. 4

followup_bot and docs_bot close the loop

The minutes go out by email or as tasks in Odoo, Ticket OS or your own system. followup_bot reminds owners before each due date and docs_bot prepares what was requested, ready for someone to approve.

The agents

Meet your six AI agents.

Each one has a job and keeps a record of what it based its work on. They work on their own after every meeting; we implement and supervise them. Your team decides and approves.

transcriber_bot

AI agent · Transcribes
01

Turns the recording into timestamped text and labels every voice with the person’s name. Uses your company’s vocabulary for products, clients and acronyms.

screenshot_bot

AI agent · Captures
02

Saves an image every time the shared screen changes, at the exact minute. The table or number someone showed ends up in the minutes.

minutes_bot

AI agent · Writes
03

Writes the minutes in your format: summary, decisions with owner and due date, open items and risks. Every point carries the minute it comes from.

followup_bot

AI agent · Follows up
04

Keeps an eye on every decision: reminds the owner before the due date, flags what is overdue and keeps what’s pending in plain sight.

docs_bot

AI agent · Generates
05

Prepares what was asked for in the meeting: the PDF quote, the proposal, the presentation or the follow-up email, ready for a person to approve.

connector_bot

AI agent · Connects
06

Brings in recordings from Zoom, Meet or Teams and sends the results to your email, your calendar, Google Drive or SharePoint, Odoo or another CRM, and your tasks.

What you get

From a 50-minute recording to something people actually read.

Every meeting leaves four things behind, all linked: jump from a decision to the moment it was said, and from there to what was on screen.

Minutes, in your company’s format

What matters from the meeting, not the whole conversation.

  • A one-paragraph summary
  • Decisions with an owner and a due date
  • Open items and unanswered questions
  • Risks that came up
  • Every point linked to the minute it came from

A transcript that shows who said what

Every line with its timestamp and the name of the person who said it. Search a word and jump straight to that moment.

  • Timestamps on every turn
  • Speaker separation, with names
  • Your company’s vocabulary: products, clients, acronyms
  • Spanish and English, even when they mix

Screenshots of what was shown

Every time the shared screen changes, you get an image placed at the exact point in the transcript. The table, diagram or number someone showed doesn’t disappear anymore.

  • Triggered by screen changes, not every X seconds
  • Each screenshot timestamped
  • Linked to the transcript and the minutes

Tasks, not just text

Every decision with an owner and a date becomes a task in the system your team already uses, with a link back to that moment in the meeting.

  • Odoo: project tasks or CRM activities
  • Ticket OS or another help desk
  • Your own system, if it has an API
  • Or simply an email to each owner

Connected

Everything connected: from the meeting to the finished task.

The agents pick up where you already record and deliver where you already work: email, calendar, folders and systems. No new tools.

  1. 01Meetingconnector_bottranscriber_bot

Your team approves

The agents do the work. You have the final say.

The agents take care of everything repetitive in every meeting. Your team reviews, decides and approves.

  • They work on their own after every meeting. As soon as the recording arrives, transcriber_bot and minutes_bot get to work; nobody has to ask.
  • Every decision comes with evidence. minutes_bot notes the minute each decision, open item and risk comes from; one click and you hear it.
  • Missing details stay as open items. If nobody named an owner or a date in the meeting, the decision is flagged for your team to assign. Nothing is made up.
  • They chase open items for you. followup_bot reminds owners before each due date and flags what is overdue.
  • You approve what goes out. docs_bot gets the quote, the document or the email ready; a person reviews and sends it. If you like, the minutes are approved before they go out too.

Privacy

Your meetings cover clients, prices and people. We treat them that way.

We tell you exactly what happens to every file, with no promises we can’t keep.

Audio is transcribed on our own infrastructure

transcriber_bot runs on our own servers, operated by us. Your meeting audio is not sent to third-party transcription services.

The minutes: provider and terms in writing

minutes_bot drafts the minutes with a language model working from the transcript text. Before we start, we tell you which provider is used, where it processes data and under what terms, and it goes into the contract.

You decide what’s kept, and for how long

We agree with you on retention for video, audio, transcripts and screenshots. The original video can be deleted as soon as processing is done.

Only the right people see each set of minutes

Permission-based access: attendees, a department or whoever you choose. We recommend announcing that the meeting is recorded, and we give you the wording.

Legal documents are reviewed and drafted with the support of legal specialists. WITS identifies needs and risks but does not provide legal services.

Who it’s for

For teams where what gets agreed in a meeting moves money.

Leadership

Follow-up meetings

Weekly committees and operations reviews where every decision needs an owner and a date.

ExampleAn industrial distributor: the weekly supply meeting ends with owners, dates and risks on paper.

Sales

Client calls

What the client asked for, what was promised and what’s next, without relying on a rep’s memory.

ExampleA B2B sales team: every call leaves a CRM activity with the commitments made.

Services

Discovery and scoping

Agencies and consultancies that turn a client meeting into requirements and a quote.

ExampleA software studio: the discovery call becomes a requirements list with screenshots of the client’s screen.

Projects & IT

Progress reviews

Sprint reviews, vendor meetings and change boards that leave loose ends everywhere.

ExampleAn IT department: open items from the vendor meeting become tickets with due dates.

FAQ

What people ask us before getting started.

What is Meeting OS?

A team of six AI agents that works on every Zoom, Google Meet or Teams meeting: they transcribe who said what, capture what was shown on screen, write minutes with decisions, owners and due dates, follow up on every decision and generate what was asked for in the meeting (a PDF quote, a document, a follow-up email) for a person to approve. We implement and run them.

Does a bot have to join my meeting?

No. The agents work from the recording your tool already makes, or from a file you upload. If you want every meeting on a calendar processed automatically, connector_bot connects to your Zoom, Meet or Teams.

Does it work if we don’t record in Zoom, Meet or Teams?

Yes. Besides connecting your cloud recordings, you can upload the file directly: video (.mp4, .webm) or the audio from an in-person meeting.

Can it tell who is speaking?

Yes. transcriber_bot separates the voices and matches each one to a person’s name, which the transcript and minutes then use. It works best with clean audio; when two people talk over each other, a stretch can get mixed up.

How accurate is the transcript?

It mostly depends on the audio. With decent microphones it reads well; names, products and acronyms specific to your company are fixed with a custom vocabulary the agent uses in every meeting. Every decision in the minutes links to the minute it was said, so you can check it.

Can the agents make up decisions?

No: minutes_bot attaches the transcript timestamp to every decision, open item and risk, so you can check it in one click. If an owner or a date is missing, the decision stays as an open item for your team to assign. If you prefer, someone approves the minutes before they are sent or tasks are created.

How do they follow up on decisions?

followup_bot reviews every decision that has an owner and a due date: it reminds the owner before it’s due, flags what is overdue and shows whoever ran the meeting what’s still pending.

Do the agents send documents on their own?

docs_bot prepares what was asked for in the meeting: the PDF quote, the proposal, the presentation or the follow-up email. A person approves before anything is sent.

What do they connect to?

Zoom, Google Meet and Microsoft Teams for recordings; your email (Gmail or Outlook) and your calendar; Google Drive or SharePoint to store minutes and documents; and Odoo, Ticket OS or your own system for tasks, via API or webhook if it supports it.

Where does my meeting audio go?

transcriber_bot transcribes the audio on our own infrastructure; it is not sent to third-party transcription services. minutes_bot drafts the minutes with a language model working from the text: we tell you which provider, which region and under what terms, in writing, before we start.

Can we use our own minutes template?

Yes. minutes_bot starts from your current format: sections, order, fields and who receives it. If you don’t have one, it uses ours.

Which languages does it support?

Spanish and English, even within the same meeting. Minutes are delivered in the language you choose.

How much does it cost?

It depends on how many meeting hours the agents process per month and which systems they connect to. You get a written monthly price after the assessment.

Do we need to tell people the meeting is recorded?

Yes. We recommend announcing it at the start of every meeting, and we give you suggested wording. We agree with you how long each file is kept and who can see it.
